Every tour tomorrow has a confirmed guide.
Your booking emails go in. Guides answer on WhatsApp. You get one message at 18:00.

The same evening, twice.
- Today: You copy each booking from the platform email into a spreadsheet.
- With GuidePing: Booking emails go straight onto your board: new, changed or cancelled.
- Today: You post the tour in the guide group and wait.
- With GuidePing: The right guide is asked first, by language, tour and who is free.
- Today: Two guides answer in the group, one in a private chat.
- With GuidePing: No answer in time? The next guide is asked. A yes is confirmed on the spot.
- Today: A start time changes and you message everyone again.
- With GuidePing: Time changes go out by themselves and need a fresh yes.
- Today: At 22:00 you are still checking who confirmed tomorrow.
- With GuidePing: At 18:00 one message: every tour covered, or the one that needs you.
How it works
Set up in an afternoon. Nothing changes for your guides except fewer messages.
- 1
Forward your booking emails
One forwarding rule in Gmail or Outlook. New bookings, changes and cancellations from every platform land on one board.
- 2
Guides get offers on WhatsApp
GuidePing asks the right guide and reads the answer. Your rules decide who is asked, how long they have and when a second guide is needed.
- 3
You get one message at night
Guides get tomorrow's details and reply OK. You get a summary: everything covered, or exactly which tour needs you.
Guides write how they write.
No buttons, no codes, no app. GuidePing uses AI to read each reply in any language, then plain rules decide what happens. A guide is only booked on a clear yes. Everything else comes to you.
| The guide writes | What happens |
|---|---|
| “Certo, lo faccio volentieri!”Italian | Booked |
| “Ja, passt 👍”German | Booked |
| “Saturday yes, Sunday I can't”English | Yes to Saturday, Sunday goes to the next guide |
| “Estoy enfermo mañana, lo siento”Spanish | Day off noted, open offers move on; a tour already booked is flagged to you |
| “Yes if I finish by 12”English | Not booked. Comes to you: it is a condition |
| “Where do we meet?”English | Comes to you, the offer stays open |
Your rules, per tour.
Set company rules once, then change only what is different for a tour. The food tour can work differently from the palace tour.
- One guide at a time
- or ask three at once and the first yes gets it.
- 2 hours to answer
- 30 minutes when the tour is tomorrow.
- 12 guests per guide
- above that a second guide is asked. Or never more than one.
- Stop asking 24 h before
- and message you, so you can call around yourself.
- No answer counts as yes
- if you want it. The guide is told and can still say no.
- A late yes still counts
- as long as nobody else has taken the tour.
- At most 2 tours a day
- per guide, so the work is spread out.
- The same guide first
- when a booking moves to another time, its guide is asked first.
One price. Everything included.
Start with a 30-day pilot. We set it up with you.
Flat price per company, plus VAT.
- All your tours and bookings
- Up to 40 guides
- WhatsApp messages included
- Every booking platform that emails you
- Your own rules per tour
- Evening details to guides, summary to you
30 days free. No card. Nothing renews by itself.
Questions
Something else? Email ravidefroni@gmail.com.
Do my guides need to install anything?
No. They need WhatsApp, which they already use. Every message names your company, and they answer the way they would answer you.
Which booking platforms work?
Any platform that emails you when a booking comes in, changes or is cancelled: GetYourGuide, Viator, Bókun, Tiqets, FareHarbor, Regiondo or your own website. An email that cannot be read clearly comes to you instead of going on the board.
Do I have to change my booking system?
No. You add one forwarding rule in Gmail or Outlook. Your platforms, your website and your prices stay as they are.
What if a guide writes something unclear?
GuidePing does not guess. Questions, conditions and anything it is not sure about come to you, and the tour stays open until a clear yes.
Can I still choose the guide myself?
Yes. On any tour you can ask a guide out of turn, book someone you already agreed with by phone, or take a guide off. They get a WhatsApp each time.
What does WhatsApp cost?
Nothing extra. WhatsApp messages are included in the price.
Where is my data?
Your bookings and guide list are stored in Frankfurt, Germany. To read emails and replies, their text is sent to Anthropic's Claude, which does not train on it. You can export or delete everything.
What happens after the 30 days?
We ask whether you want to continue at €99 a month. No card is taken during the pilot and nothing renews by itself.
