Freelance guides
Freelance tour guide scheduling without a guide app
Updated 31 October 2026 by Ravid Efroni, founder of GuidePing, which sends guide offers on WhatsApp. Read the tool comparisons with that in mind.
Short answer
Offer tours, do not assign shifts
Staff scheduling tools are built around a roster: you decide who works when, and they show up. Freelance guides work differently. They take tours from you and from other operators, and they decide tour by tour. An operator in a Travel Massive thread describes guides who run four or five tours a day and keeping "guides' diaries" in colour-coded calendars to avoid double bookings (thread).
So the useful unit is an offer: this tour, this date and time, this language, this many guests. Can you take it? Yes or no.
- A yes books the guide and sends the details.
- A no moves the tour to the next suitable guide straight away.
- Silence is treated by a rule you set, not by you remembering to check.
- A yes with a condition ("yes if I finish by 12") or a question comes back to you instead of being booked.
What each tool asks your guides to do
| Tool | How guides get the request | What the guide must have |
|---|---|---|
| TourDash | Request and push in the TourDash app | Account created by the operator, web or mobile app |
| Partners by Elevate | Email and chat inside the request | Browser area, no install |
| automate.travel | Web portal, web push, email | Portal login |
| Bókun | Departures shown in the Bókun mobile app | Linked user account and the app |
| FareHarbor | Email and push in the FareHarbor app | User account and the app |
| Rezdy | Rezdy Mobile Manifest for resource users | Resource user account and the app |
| Origin | Accept or reject in the system or by text message | Nothing extra for replies by text |
| GuidePing | One WhatsApp message per offer | WhatsApp, nothing else |
Sources: TourDash, Partners by Elevate, automate.travel, Bókun, FareHarbor, Rezdy, Origin. Origin, built for US outfitters, is the closest to a no-app model because guides can reply by text. If you already run Bókun or FareHarbor and your guides use its app, staying there is reasonable.
A simple setup for 5 to 40 freelance guides
- 01List each guide with their languages, the tours they know, fixed weekdays off and the most tours a day they take.
- 02Set an order of guides per tour: who you ask first, second, third.
- 03Decide how long a guide has to answer, with a shorter window when the tour starts within 24 hours.
- 04Decide what silence means: ask the next guide, or treat it as a yes and tell the guide, who can still say no.
- 05Set the number of guests per guide above which a second guide is needed.
- 06Set the point before the start (for example 3 hours) after which offers stop and you take over.
- 07Check one list every evening: tomorrow's tours, each with a confirmed guide or marked as still open.
Guides who work for several companies can keep one sheet of free days and send you the link. A free template for them: tour guide availability calendar.
How GuidePing runs it
You forward booking emails from GetYourGuide, Viator, Bókun, FareHarbor, Regiondo or your website with one rule in Gmail or Outlook. GuidePing reads each booking, change and cancellation, and offers each tour on WhatsApp to a suitable guide by the rules above, one guide at a time or several at once with the first yes winning. Guides answer in their own words and in their own language. A time change asks the booked guide to confirm the new time; a cancellation releases them.
Confirmations carry a calendar link, and each guide has a personal page (a link you share, no login) with their tours and days off. At 18:00 (or your own time) you get one message: every tour tomorrow is confirmed, or which one still needs you. More on what to do when a guide goes quiet: when a tour guide does not answer. Why WhatsApp: tour guide scheduling on WhatsApp.
Questions
Do I need software to schedule freelance guides?
Not with a handful of guides and one booking channel. Once bookings come from several platforms and you have more than about five guides, the work is the chasing: who has answered, who has not, who is next. That is the part worth automating.
Will my guides install an app?
Many will not install one app per operator they work for. Most tools in the table on this page need a guide login or app. GuidePing sends offers on WhatsApp, so guides install nothing.
How do I track guide availability?
Ask for fixed days off and single days off, and let guides change them without calling you. GuidePing has a personal page for each guide, a link you share with them, where they see their tours, set weekdays off and days off, and subscribe to a calendar feed.
How do I match guides by language?
Keep each guide's languages and the tours they know. Offer a tour only to guides who speak the booking's language, know the tour, are free that day and have no overlapping tour.
What does a scheduling tool cost?
Published prices in this category range from free tiers for a few guides to USD 349 a month and more for larger systems. GuidePing is €99 a month flat after a 30-day free pilot, for up to 40 guides, WhatsApp included.
See it with your own tours
Forward one booking email, a guide gets the offer on WhatsApp and answers in their own words. 30 days free, then €99 a month. No card.
